Your firm’s customers are agencies. This page describes agency records, creating portal users for agencies, importing agencies in bulk, and the segments that set the profit margin.

Who sees it

The «Müşteriler» (customers) and «Segmentler» (segments) menus depend on the «Müşteriler» module and are visible only to the «Yönetici» (manager) role. Operations staff cannot open these screens. Even if the module is switched off, quotations keep using the existing agency and segment records. A manager also sees the same agency cards in the phone app, for reading only, with the segment and «Segment Geçmişi» (segment history); the «Panel Kullanıcıları» (panel users) section is not on the phone yet (Agencies and suppliers on the phone).

Customers

The «Müşteriler» list shows the agency name, country, segment, default representative and number of active files. You can filter by segment. The «Aktif dosya» (active files) number counts the ongoing files whose tour falls in the chosen year; clicking the number opens these files in the «Operasyon Dosyaları» (operation files) list. You change the year with the «Aktif dosya yılı» (active file year) filter; this filter does not filter the rows, it only changes the number. This column appears if the «Operasyonlar» (operations) module is switched on. The buttons above the list (the report buttons appear if the modules their report needs are switched on):
  • «Performans» (performance) — opens the «Müşteri Performansı» (customer performance) report.
  • «Cari Hesaplar» (current accounts) — opens the agencies’ current account list.
  • «Excel’den İçe Aktar» (import from Excel) — imports agencies from a file.
  • «Yeni Müşteri» (new customer) — opens a new agency record.
For the reports, see the Current accounts and reports page.

Agency record

  1. Press the «Yeni Müşteri» button.
  2. Fill in the «Acente adı» (agency name) field; this is the only required field.
  3. Fill in the «Ülke» (country), «Pazar / bölge» (market / region), «Adres» (address), «Yetkili kişi» (contact person), «E-posta» (e-mail) and «Telefon» (phone) fields. Each agency has a single contact person.
  4. Choose the «Segment»; the agency’s profit margin comes from the segment. If you change the segment later, the change is written to «Segment Geçmişi» (segment history).
  5. Choose the «Varsayılan temsilci» (default representative). When a file is opened for this agency, this person becomes the file’s assignee.
  6. Save.
The «Hesap Özeti» (account statement) button on the agency’s edit page opens the agency’s current account. On the phone, the agency card’s «Hesap Özeti» button opens the same account statement. The «Segment Geçmişi» section on the same page shows every change of the agency’s segment, the newest at the top: «Tarih» (date), «Önceki segment» (previous segment), «Yeni segment» (new segment) and «Değiştiren» (changed by). The segment chosen when the agency record is created does not count as a change. The records are read-only. A segment change affects only the offers made from then on; offers and files already opened keep their versions of that day. An agency that has an operation file or an imported past-year summary cannot be deleted; files and reports stay under the agency’s name.

Agency portal users

So that the agency can sign in to its own portal, you create users from the «Panel Kullanıcıları» (panel users) section on the agency’s edit page. This section appears if the «Acente Paneli» (agency panel) module is switched on.
  1. Press the «Panel Kullanıcısı Aç» (create panel user) button.
  2. Fill in the «Ad» (name) and «E-posta» fields. The e-mail address must be unique across the whole of Tourante.
  3. Write a password in the «Parola» (password) and «Parola (tekrar)» (password, again) fields: at least 12 characters, containing letters and digits.
  4. Press the «Kullanıcıyı Aç» (create user) button.
The user signs in only to the agency portal; they cannot open the firm panel. You pass the password on to the agency yourself; at their first sign-in, the user is directed to change their password. In the list, the «Parola değişmeli» (password must be changed) badge shows that the user has not yet set their own password. If an agency user forgets their password, set a new password with the «Parola Değiştir» (change password) button in the row and pass it on to the agency. If they cannot reach their authenticator app and recovery codes, press the «İki Adımlı Doğrulamayı Sıfırla» (reset two-step verification) button in the row and confirm the question: the button appears only in the row of a user who has two-step verification on, and from then on the user signs in with their password and may turn two-step verification on again if they wish. The name, e-mail or role cannot be changed from this screen. For the portal itself, see the Agency portal page.

Importing agencies from Excel

To add many agencies in one go, press the «Excel’den İçe Aktar» button in the «Müşteriler» list. The «Acenteleri İçe Aktar» (import agencies) page opens.
  1. Download the empty template with «Şablonu İndir» (download template) and fill it in. You can also upload your own file.
  2. «1. Kaynak» (1. source) — choose «Excel dosyası» (Excel file) or «Yapıştırılan tablo» (pasted table). There must be a single file of at most 10 MB; only .xlsx and .csv are accepted. If the file has title or logo rows at the top, increase the «Başlık satırı» (header row) number.
  3. «2. Kolon Eşlemesi» (2. column mapping) — for each target field, choose the column in your file. The columns are guessed from their header names; check every row.
  4. «3. Değer Eşlemesi» (3. value mapping) — if the country names in the file are not recognised, choose the match for each of them. Rows whose match is not chosen are not imported.
  5. «4. Önizleme» (4. preview) — check the first rows.
  6. Press the «Onayla ve İçe Aktar» (confirm and import) button.
Rules:
  • An agency whose name is already registered is skipped; existing agencies are not updated. The name comparison ignores differences of upper and lower case and of Turkish characters.
  • The segment is matched by its name, the representative by their e-mail. If no match is found, the field stays empty and a note is made in the report; no new segment is created.
  • The file you upload is not kept.
After the import, the «Sonuç» (result) section lists each row’s outcome and its reason. If you close the page, this report is lost; download it with «Raporu İndir (CSV)» (download report, CSV) before you leave. You can select agencies imported by mistake in the «Müşteriler» list and delete them in bulk.

Segments and margins

A segment groups agencies and gives each group a default profit margin. If no margin is entered, the quotation applies the margin of the agency’s segment.
  1. On the «Segmentler» screen, press the «Yeni Segment» (new segment) button.
  2. Write the «Segment adı» (segment name) and, if you like, an «Açıklama» (description).
  3. In the «Kâr marjı (%)» (profit margin, %) field, enter a percentage as a whole number (for example 25).
  4. Save.
The list shows the segment’s name and the margin valid today. To change a segment’s margin, press the «Marjı Güncelle» (update margin) button on the segment’s page, enter the new margin and confirm. The new margin applies from today; the old margin closes on the day before. A margin with a future date cannot be defined. The «Marj Sürüm Geçmişi» (margin version history) section on the segment page shows the old margins with their start and end dates; the valid one is marked «Güncel» (current). Past versions are read-only: they cannot be deleted or edited, so that calculations made in the past stay consistent.
