This page describes the screens for settling accounts with agencies and the customer reports. These screens do not appear separately in the menu; they open with the buttons on the «Müşteriler» (customers) screen and are visible only to the «Yönetici» (manager) role. All amounts are shown in euros. Collections in Turkish lira, refunds and credit notes are not included in the current account; an overpayment appears in the file’s warning. The amounts of files whose invoicing process has not started appear hidden in the rows; the totals are always shown in full.

Current accounts

The «Cari Hesaplar» (current accounts) button in the «Müşteriler» list opens the «Cari Hesaplar» screen. This screen needs the «Müşteriler», «Faturalama» (invoicing) and «Operasyonlar» (operations) modules to be switched on. On the screen, each agency with a pro forma invoice, a collection or a payment plan is a row; the one with the highest balance is at the top. A row holds the number of files, the amount owed, the amount collected, the balance, the overdue amount, the age of the overdue amount (1–30, 31–60, 61–90 and more than 90 days), the amounts not yet due and those without a due date, and the oldest delay. Files without an agency are gathered at the bottom in the «Acentesiz dosyalar» (files without an agency) row. The «Toplam» (total) section at the bottom of the screen gives the total for all agencies; the pro forma invoices and collections of cancelled files are not counted in the balance and are shown separately. To get the list as an Excel file, press the «Excel İndir» (download Excel) button. Clicking an agency’s name opens that agency’s account statement. A manager also opens the same screen in the phone app, with the «Cari Hesaplar» button on the «Bugün» (today) screen; there is no «Excel İndir» on the phone (Today and notifications).

Account statement

An agency’s account statement opens with the agency’s name in the page title. You reach the account statement in three ways: the «Hesap Özeti» (account statement) button on the agency’s edit page, the agency’s name on the «Cari Hesaplar» screen, or the «Hesap Özeti» button on the movements page. The access rules are the same as for «Cari Hesaplar». The page’s sections:
  • «Özet» (summary) — the amount owed, the amount collected and the balance; the number of files and the number of files with a pro forma invoice. A collection received on files with no pro forma invoice issued is shown as an advance and deducted from the balance.
  • «Vade Dağılımı» (due-date breakdown) — the overdue amount broken down by ranges of days, and the amounts not yet due and without a due date.
  • «Dosyalar» (files) — the agency’s files: start date, status, invoicing stage, pro forma invoice, amount owed, amount collected, balance, overdue amount, next due date and attention note. By default the «Görünüm» (view) filter shows «Açık kalemler» (open items); to see closed files, choose «Tüm dosyalar» (all files). Clicking the file number opens the file.
  • «İptal Edilen Dosyalar» (cancelled files) — the cancelled files, if any. The pro forma invoices and collections on these files are not counted in the balance.
To see the account movements, press the «Hareketler» (movements) button. In the phone app, the account statement opens when you tap the agency’s card on the «Cari Hesaplar» screen, and it shows the same sections.

Account movements

The movements page lists every entry in the agency’s account in date order: each pro forma invoice is a debit line, each collection a credit line, and the balance runs line by line.
  • With the «Dönem» (period) filter, choose the start and end dates. By default the start is the first day of this year; if the end is left empty, everything up to today is taken.
  • The balance brought forward is shown at the start of the page, and the end-of-period balance at the end.
  • The movements are calculated from the records as they stand today.
The «Excel İndir» button downloads the agency’s account file: the movements (for the chosen period), the files and the cancelled ones are on separate sheets. To go back to the account statement, press the «Hesap Özeti» button. In the phone app, the movements open with the «Hareketler» button on the account statement; you choose the period there too, but the account file is downloaded from the panel only.

Customer performance

The «Performans» (performance) button in the «Müşteriler» list opens the «Müşteri Performansı» (customer performance) screen. This screen needs the «Müşteriler» and «Operasyonlar» modules to be switched on. The screen totals, agency by agency, the confirmed and completed files whose tour falls in the chosen year. A row holds the agency, segment, number of files, turnover, profit, average margin and date of the last transaction; the highest turnover is at the top. By default the «Yıl» (year) filter shows this year; its list of years also includes imported past years. The «Segment Özeti» (segment summary) section totals the same figures by the agencies’ current segments. Agencies without a segment and files without an agency are in the «Segmentsiz» (without segment) row. When an imported year is selected, the figures are not calculated from Tourante files; they are shown from the imported summaries. You can delete a summary imported by mistake with the «Sil» (delete) button in its row and import the correct figures again.

Importing past years

You import the agency figures of the years before you started on Tourante with the «Geçmiş Yılları İçe Aktar» (import past years) button on the «Müşteri Performansı» screen. This page is used by the users who can see profit information, that is, the «Yönetici» role. The steps are the same as for the agency import: download the template, upload the file, map the columns, preview, and press the «Onayla ve İçe Aktar» (confirm and import) button (Customers and agencies). Rules:
  • Each row is one year of one agency: agency name, year, number of files, turnover (euros) and, optionally, profit (euros).
  • The agency must already be registered; it is matched by its name. The import does not create agencies.
  • The year must be before your firm’s first file year in Tourante.
  • Amounts are written without a thousands separator; the decimal separator can be a point or a comma. The profit can be negative or left empty.
  • A second summary for the same agency and year is rejected; existing summaries are not updated.
